Objective:
The Firm is looking to add to its staff in the New York Office. Candidate must have a commitment to sustainability and an understanding of the interdependence of wealth and values. The position is best described as being a “Jack of all Trades†in office management, administrative assistance and accounting.
Administrative Responsibilities:
• Manage dayâ€today operations including answering phones, greeting guests, sending and sorting mail
• Manage President's calendar/schedule for firm and general scheduling
• Manage travel bookings for president and other staff if based in NYC (4 staff members)
• Organize general meetings
• Organize USâ€based Advisory Board Meetings
o Locating venue
o Sending regular updates to Advisory Board assistants
o Help in determining future meeting dates
o Organizing meeting needs – car service, meals, hotel accommodation
• Organize annual client meetings
• Maintain organized filing system
Office Manager:
• Manage employee payroll, employee benefits, insurances & pension
• Manage and report employee reimbursements
• Organize payments for office expenses
• Establish contact with office suppliers and vendors and maintain relationship to meet office's needs – includes all company vendors, IT/data vendors, etc.
Accounting
• Day to day management of office finances thru Accounting Program updates – with oversight from Firm's Comptroller and assistance from Firm's accounting company
• Organize payments for office expenses
• Handle US Financial Audit – provide necessary documents to facilitate a smooth financial audit
• Frequently liaise with Firm's Accountants to ensure company books are reconciled
• Manage office budget and prepare biâ€weekly reports
• Liaise with Firm Comptroller on office expenses
